Popstar Planet – Terms and Conditions

1. Introduction
Welcome to Popstar Planet. By booking a place at any Popstar Planet holiday camp, weekly session, workshop or special event you agree to these Terms and Conditions.
These Terms and Conditions are designed to ensure the safety, wellbeing, and enjoyment of every child attending our sessions.
2. About Popstar Planet
Popstar Planet provides music-based activities for children aged 6–12 years, including:
- Weekly music sessions
- Holiday camps
- Workshops
- Special events
All activities are delivered in a safe, inclusive, and supportive environment.
3. Bookings
Bookings are confirmed only once:
- A completed booking form has been received.
- Payment has been made (or a payment plan agreed where applicable).
- Confirmation has been sent by Popstar Planet.
Places are allocated on a first-come, first-served basis.
4. Payments
Full payment must be received before your child’s first session unless otherwise agreed.
We reserve the right to cancel any booking where payment has not been received.
Any promotional discounts cannot be applied retrospectively.
5. Cancellation by Parents/Carers
Weekly Sessions
If you wish to cancel your child’s place, written notice is required.
Fees already paid are generally non-refundable unless exceptional circumstances apply.
Holiday Camps
Cancellations made:
- More than 14 days before the start date may receive a refund (less any administration fees, if applicable).
- Within 14 days of the start date are non-refundable.
Where possible, we may offer a credit towards another camp at our discretion.
6. Cancellation by Popstar Planet
Popstar Planet reserves the right to cancel or postpone sessions due to:
- Staff illness
- Venue issues
- Severe weather
- Insufficient bookings
- Circumstances beyond our reasonable control
Where this happens, parents will be offered:
- An alternative session,
- A credit, or
- A full refund.
7. Arrival and Collection
Parents/carers are responsible for ensuring children arrive and are collected on time.
Children may only be collected by:
- A parent/carer, or
- An authorised adult named on the registration form.
Identification may be requested if the collecting adult is unfamiliar to staff.
8. Late Collection Policy
Our staff remain on-site until every child has been collected.
Late collection incurs an additional charge of £1.00 per minute, calculated from the published collection time until the child is collected.
This charge helps cover additional staffing costs.
Persistent late collection may result in your child’s place being withdrawn.
If you know you will be delayed, please contact us as soon as possible.
9. Medical Information
Parents/carers must provide accurate and up-to-date information regarding:
- Medical conditions
- Allergies
- Medication
- Additional needs
- Emergency contacts
It is the parent’s responsibility to inform us immediately of any changes.
10. Illness
Children should not attend if they are suffering from:
- A contagious illness
- Vomiting or diarrhoea
- A fever
- Any condition that may put other children at risk
If a child becomes unwell during a session, parents/carers will be contacted and must arrange collection as soon as possible.
11. First Aid
Qualified first aiders will be available during sessions.
Minor first aid may be administered where appropriate.
Parents/carers will be informed of any significant accidents or injuries.
In an emergency, Popstar Planet may seek urgent medical treatment if parents/carers cannot be contacted.
12. Behaviour Expectations
We aim to provide a fun, respectful, and inclusive environment.
Children are expected to:
- Treat others kindly.
- Follow staff instructions.
- Respect equipment and venues.
- Use appropriate language.
- Behave safely.
Bullying, violence, discrimination, abusive language, or behaviour that places others at risk will not be tolerated.
Where behaviour is unacceptable, we will work with parents/carers to resolve concerns. In serious or repeated cases, Popstar Planet reserves the right to suspend or permanently exclude a child without refund.
13. Safeguarding
The safety and welfare of children is our highest priority.
Popstar Planet follows its Safeguarding Policy and all staff and volunteers are expected to adhere to safeguarding procedures at all times.
Any safeguarding concerns will be managed in accordance with our safeguarding procedures and relevant legal obligations.
14. Photography and Video
Photographs or videos may occasionally be taken for:
- Social media
- Marketing
- Website content
- Promotional materials
Images will only be used where appropriate parental consent has been provided.
Parents who do not wish their child to be photographed should indicate this during registration.
15. Personal Belongings
Children should not bring valuable items to sessions.
Popstar Planet accepts no responsibility for lost, stolen, or damaged belongings.
16. Clothing
Children should wear comfortable clothing suitable for music, movement, and creative activities.
Parents are responsible for ensuring children have any items specified for particular sessions.
17. Food and Allergies
Where refreshments are provided, reasonable care will be taken regarding allergens.
Parents remain responsible for informing us of allergies and dietary requirements.
Popstar Planet cannot guarantee an allergen-free environment.
18. Liability
Whilst every reasonable care is taken to ensure children’s safety, participation in activities carries a small element of inherent risk.
Popstar Planet shall not be liable for any loss or damage except where caused by our negligence or where liability cannot legally be excluded.
Nothing in these Terms and Conditions limits or excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot legally be excluded under applicable law.
19. Data Protection
Personal information is collected and stored for the purpose of administering bookings, ensuring children’s safety, and communicating with parents/carers.
Information will be handled in accordance with applicable UK data protection legislation.
Emergency contact details will be retained for safeguarding and health and safety purposes.
